Using this tool

Convert the standard entitlement into hours

Enter contracted weekly hours, working days, completed NHS service and the portion of the leave year being calculated. The standard Agenda for Change starting points are 27 days on appointment, 29 after five years and 33 after 10 years, plus public holidays.

Worked example

A 0.6 full-time-equivalent contract

Someone working 22.5 hours across three days is 0.6 full-time equivalent. A 27-day full-year entitlement becomes 121.5 annual-leave hours before public holidays are added.

Calculation

Pro-rata annual leave in hours

Annual leave hours = full-time days x 7.5 hours x contracted hours / 37.5 x months / 12. Public holidays are converted with the same full-time-equivalent ratio, then shown separately and combined.

Limitations

Check the local leave record

  • Use hours when daily shifts are unequal.
  • Count only public holidays that fall inside the period you are estimating.
  • Ask payroll or HR how previous NHS service and local leave-year rules are handled.
